Understanding the CRM: Donors, Fundraisers, and Relational Grouping

LevCharity's CRM is built specifically for nonprofits, with three distinct views that reflect how your relationships actually work.

The Three CRM Views

Donors

The Donors view is your primary contact list. Every person who completes a transaction on any of your forms, campaigns, or events is automatically captured here — matched by email address, so a person who donates three times appears as one record with all three transactions.

Each donor profile includes:

  • Full transaction history — every donation, event ticket, eCard, and eCommerce purchase.
  • Giving summary — lifetime total, last gift amount, and last gift date.
  • Giving by year and campaign — see how their giving has changed over time.
  • Notes — free-text notes with the option to set a scheduled email reminder (useful for "Call this donor before the December campaign").
  • Activity history — a full log of all interactions.
  • Custom fields — any custom data collected on your forms.

Fundraisers

The Fundraisers view shows all registered fundraisers across your campaigns. From here you can see each fundraiser's campaign, total raised, and team. You can reassign a fundraiser to a different campaign or team, and reassign individual donations if they were made to the wrong fundraiser.

Relational Grouping

The Relational Grouping view lets you link contacts as households or companies. This is useful for:

  • Grouping a couple's donations together under one household record.
  • Linking employees of a corporate donor to their company.
  • Calculating true household-level lifetime value.

How Data Flows In

Donors are captured automatically whenever a transaction completes — no manual entry needed for online donations. For offline gifts (cash, check, wire transfer), you can Log an Offline Donation directly on a donor's profile or from within a campaign.

External CRM Integrations

If your organization uses Salesforce, Blackbaud Raiser's Edge NXT, or Admire, LevCharity can sync donor records and transactions to those systems. This requires the Growth plan or above. Configuration is done under Settings → Integrations.

Adding Sponsorship Items to a Campaign or Form

Let major donors or businesses sponsor named items at set prices using LevCharity's Sponsorship Items add-on.

Importing Contacts and Logging Offline Donations

Import your existing donor list into LevCharity and manually log cash or check donations to keep your CRM complete.
