As your donor list grows, tags and segmentation help you keep it organized and act on it efficiently.

Adding Tags to Donors

Tags are free-form labels you apply to donor records. Common uses:

  • Campaign attribution ("Annual-Drive-2025")
  • Donor category ("Major Donor", "Recurring", "Board Member")
  • Geographic segment ("NYC", "Toronto", "Israel")

To tag a donor individually:

  1. Open the donor profile in the CRM.
  2. Click Add Tag and type or select a tag.

To tag multiple donors at once:

  1. In CRM → Donors, use the search/filter to find the donors you want.
  2. Check the boxes next to their names (or Select All for filtered results).
  3. Click Bulk Actions → Add Tag and choose or create your tag.

Searching and Filtering

Use the filter bar to narrow your donor list by:

  • Tag
  • Donation frequency (one-time vs. recurring)
  • Last gift date range
  • Total lifetime giving
  • Custom field values
  • Campaign or form they donated through

Filters can be combined. The filtered view is what gets exported if you click Export — so filtering first, then exporting, is the recommended workflow for building segmented lists.

Bulk Actions Available

With donors selected, the Bulk Actions menu lets you:

  • Add Tag — Tag all selected donors.
  • Remove Tag — Remove a tag from all selected.
  • Send Email — Send a one-off email to the selected group (uses the Email Manager for templates).
  • Merge — Merge two donor records that represent the same person (see below).
  • Delete — Permanently remove contacts. Use with caution; this cannot be undone.

Merging Duplicate Donors

Duplicates occur when a donor donates using different email addresses or slight name variations. To merge:

  1. Search for both records and select them.
  2. Click Bulk Actions → Merge.
  3. LevCharity shows you both profiles side-by-side. Choose which record to keep as the primary and which data fields to carry over.
  4. Click Confirm Merge. Transaction history from both records is combined under the primary record.
