Importing Contacts and Logging Offline Donations

If you're migrating from another system or need to add offline gifts, LevCharity makes it straightforward to bring in bulk data or add individual records manually.

Importing Contacts via CSV

1. Go to CRM → Donors.
2. Click Import in the top-right area.
3. Download the import template CSV to see the expected column format.
4. Fill in your data. Required fields are typically first name, last name, and email. Optional columns include phone, address, tags, and custom fields.
5. Upload your completed CSV and map any columns that don't match the template exactly.
6. Review the preview — LevCharity will flag any rows with errors (e.g., invalid email format).
7. Click Import. Contacts are added; if an email already exists in the CRM, the import updates the existing record rather than creating a duplicate.

Tip: Before importing, tag your contacts with a source tag (e.g., "Imported-2024") by adding a tag column to your CSV. This makes it easy to find and manage your imported batch later.

Logging an Offline Donation

Offline donations (cash, check, wire transfer) can be logged in two ways:

From a donor profile:

1. Find the donor in the CRM.
2. Open their profile and click Log Offline Donation.
3. Enter the amount, date, currency, payment method, and which campaign or form to attribute it to.
4. Optionally generate a receipt.

From within a campaign:

1. Open the campaign dashboard.
2. Click Log Donation.
3. Search for the donor by name or email, or create a new donor record on the spot.
4. Fill in the same details as above.

In both cases, the offline donation appears in the donor's transaction history, is counted in campaign totals, and is included in all reports — exactly like an online donation.

Exporting Your Contacts

To export your contact list:

1. In CRM → Donors, apply any filters you want (e.g., a specific tag, date range, or campaign).
2. Click Export.
3. Choose your fields and download the CSV.
