Adding or Removing CRM Contact Tiers

Your base LevCharity plan includes the CRM functionality, but the number of contacts you can store is determined by a separate add-on tier. As your donor database grows, you may need to upgrade — and you can downgrade if your needs change.

CRM Contact Tier Options

Tier Max Contacts Monthly Add-On Price
Starter 1,000 +$100/mo
Plus 5,000 +$250/mo
Pro 25,000 +$500/mo
Max Unlimited +$1,000/mo

How to Upgrade Your Contact Tier

If you're approaching your contact limit, LevCharity will typically notify you by email. To upgrade:

  1. Go to Settings → Subscription.
  2. Find the CRM Contacts add-on section.
  3. Select your new tier and confirm.

The upgraded tier takes effect immediately, and the price difference is prorated for the current billing cycle.

How to Check Your Current Contact Count

  1. Go to CRM → Donors.
  2. The total contact count is displayed in the header of the Donors list.

Remember that the count includes all contacts — not just active donors. If your count is inflated by duplicate records or test entries, merging duplicates and removing test contacts will free up space.

What Happens If You Exceed Your Tier

If your contact count exceeds your current tier's limit:

  • New contacts from online donations will still be captured — LevCharity won't block incoming donations.
  • You'll receive a notification to upgrade your tier.
  • Address the overage promptly to ensure your CRM remains fully functional and synced.

Downgrading the Contact Tier

To downgrade, contact LevCharity support. Before downgrading, ensure your current contact count falls within the lower tier's limit by archiving, merging, or deleting records as appropriate.
